We are waigo, providing a service for managing WhatsApp conversations, automation, and AI support (the "Service"). This policy applies to all service users, website visitors, customers, and anyone who interacts with us through our official channels.

  • Account & Identity Data: Name, company, position, contact information, billing data (for paid subscriptions), WhatsApp number linked to the service.
  • Usage Data: Login logs, bot settings, conversations through the service, incoming/outgoing WhatsApp/web messages, AI responses.
  • Content You Provide: Knowledge files (documents/images/links/APIs), templates and responses, user media.
  • Device & Cookie Data: IP address, browser/system type, cookie identifiers, performance data.
  • Payment Data: Through third-party payment providers; we don't store complete card information on our servers.

3. Data Collection Sources

  • Directly from you when registering and using the service.
  • Through WhatsApp and its interfaces/providers according to your permissions.
  • From third-party providers (hosting, analytics, AI, payment), each according to their role.

4. How We Use Your Data

  • Providing and operating the service, bot setup, automated responses, campaign management.
  • Improving quality, security, and combating abuse.
  • Training/statistical improvement of models with anonymization when possible, or according to your settings.

5. AI Processing

We may send your inputs (text/images/files) to an approved AI provider like OpenAI to generate responses. We limit data sharing to what's necessary and provide settings to choose/disable some processing when available. We don't use your business data to train public models without your explicit consent.

We rely on one or more of: Contract Performance (service provision), Consent (where required, such as marketing messages), Legitimate Interest (improving security/quality), and Legal Compliance.

7. Data Retention

We retain data throughout the contractual relationship, then for 24 months or as required by law. Data can be deleted or anonymized after that unless the law requires otherwise.

8. Data Sharing with Third Parties

We only share what's necessary with:

  • WhatsApp/Meta and connection providers according to your permissions.
  • AI Provider: OpenAI for intelligent claim processing.
  • Hosting, Analytics & Security: Approved providers.
  • Payment: Approved payment provider.
  • Official authorities when legally required.

9. International Data Transfers

Data may be transferred across borders to countries with different laws than yours. We use appropriate mechanisms (standard contractual clauses/adequate safeguards) where required.

We apply reasonable technical and organizational controls (encryption in transit, access control, audit logs) to protect your data from unauthorized access or loss.
